How to Schedule Two or More Carers for a Visit -Upgraded Rostering

Learn how to assign two or more Carers to a visit with the Birdie Upgraded Rostering system

The Birdie system now makes it easier than ever to assign multiple carers to attend a visit (also known as a double-up). You can edit an already existing visit or create a new visit.

You can add up to four carers per visit to account for all kinds of care, and you can set different start and end times for each carer to make it as flexible as possible.

How to schedule a Double-up for a new visit schedule

Before you begin! have you set the template length? if not, see this article here.

This will be used when creating a new visit schedule that will always require multiple Carers.

To assign two or more carers for a new visit schedule, select your client and click the Visit template tab on the left-hand side. Then, click Add visit schedule to create a new visit.

Create the schedule including the number of Carers you will need for this visit, the maximum number you can select is four.

You will also have the option to select the specific start and end times for each carer, in the GIF below you can see each carer ends their visit at a different time.

Once you are done click Create schedules.

You will now see on the Client's visit template page that this is now a double-up visit with each Carer starting at a different time.

How to schedule a Double-up for a single visit in the schedule

You also have the option to assign two or more Carers for a single visit, meaning this will not repeat in the visit schedule. This would be used if you have already created the visit schedule.

To do this, go to the Visit Calendar tab, select the visit that needs to be a double-up or multi-carer visit and click Edit visit on the drop-down menu.

On the pop-up, you will have the option to add up to four Carers and select the specific start and end times for each Carer. In the example below, the second Carer starts 30 minutes after the first carer.

Once you are done, click Submit.

You will now see on the Client's Visit template tab that this is now a double-up visit with each Carer starting at a different time.

To assign Carers to this visit, click on the visit and select Assign visit, you will now be taken to the Roster tab where you can select which carer will be assigned to this visit schedule.

How to Edit an Existing Schedule for Double-up Visits

You can update the number of Carers required on an existing visit schedule by clicking on a visit on the Client's Visits template tab.

On the drop-down menu, click Edit visit to change the number of carers needed, and once you are done, click Save changes.

The double-up will be applied to the rest of the visit schedule. If you only want to add a double-up for a single visit, follow the steps under How to schedule a Double-up for a single visit in the schedule.


Adding a One-off Visit with Multiple Carers

You can create a new single visit that requires multiple carers by going to the Visit Calendar tab and clicking the Add visit button.

You will be able to add multiple carer slots and set specific start and end times for each Carer as needed.

Once you have set up all the carer slots and visit details, click Submit. This creates a standalone multi-carer visit that won't affect any existing schedules.

Assigning Carers to Double-up Visits

To assign carers to a double-up visit, click on the visit and select Assign visit slot.

A pop-up of the Roster tab will appear where you can select which Carer will be assigned to each individual visit. You will need to repeat this action for each visit.

On the Roster tab, the double-up (or multi-visit) will remain in the unassigned section until all slots have been assigned to Carers. This is to ensure the visit can go ahead safely.
