Divide a single list of activities into multiple smaller lists

Splitting activity lists provides a specialised solution for managing care when you have multiple visits occurring within the same timeframe. You may have a client requiring multiple visits within a single session (e.g., two morning visits), and splitting activity lists allows you to assign specific tasks to each visit, ensuring proper care coordination when multiple visits are involved.

When to use split activity lists

Consider splitting your activity lists for these use cases:

  • You have multiple visits scheduled within the same session timeframe - For example, two visits both occurring in the morning session (06:00-11:00), where each visit requires its own distinct activity list

  • Each visit needs different tasks to be completed - When the first morning visit handles personal care while the second handles medication administration

  • Multiple carers are visiting during the same time period - Ensuring each carer has their own clear set of responsibilities


How to split an activity list

Navigate to the client's profile and select the Activity Template tab. From here, locate the Activity list you want to split.

Click the three dots on the list and select Split on the drop-down menu.

You will now see a new list appear under the original list, this will be titled with a β€˜2’ to distinguish it from the original.

You can split lists multiple times according to your client's needs.

Now we will show you how to add tasks to the new list.


How to move tasks between split lists

Once you have split your lists, you can easily move tasks between them. To do this, drag the task from the original list and drop it to the new list.

You will see a pop-up confirming your actions, click Save changes to confirm.

Changes made in the activity template will apply to the entire template. If you only want to change the order for a specific instance, use the Activity Calendar instead. For more information on this feature, please see this article.

Please note: A task cannot be shared between two lists, if you need a task to appear on multiple lists then you will need to create multiple instances of that task.

Important: When you add a task or medication to a session that has multiple activity lists, the item will automatically appear in the first (original) activity list by default. To assign it to a different list, you'll need to use the Activity Template to move it to the correct list. We recommend always checking the Activity Template after adding new tasks to ensure they're assigned to the intended activity list.


Assigning lists to visits

After splitting your activity lists, remember to assign each list to the appropriate visit schedule. If you have not yet set the template or created your visit schedules, please follow the in-depth guidance in this article.

If you have already created the schedules follow these steps:

  1. Go to the Visit Template tab

  2. Select the visit schedule you want to attach the activity list to

  3. On the drop-down menu click Edit schedule

  4. Choose the appropriate routine from the activities list

  5. Click Save Changes

Make sure to do this for all visit schedules that need to use the newly split activity lists!


How to delete an activity list

You can delete a split activity list by going to the Activity Template tab for that client.

First, you will need to remove the task(s) from the list and move them to another list in the same session.

Once you have removed all of the tasks, you will have the option to delete the empty activity list. To do this, click the 3 dots, and on the drop-down menu click delete.

This will now be removed and the original list with all of the tasks will be the main task list for the visit.
