How to View & Manage a Client's Care Team

Manage a Carer's access to a Client's care plan and daily care notes, as well as allow them to be matched in the rota.

Please note: The following feature is available for all of Birdie’s packages.

Easily grant or revoke a Carers viewer access for a Client. This means you can limit their access to only the Client they are visiting. 

Carers will automatically be granted viewer access when they are assigned to a visit for a Client.

You may want to review the access of your Carers manually to ensure the correct roles are set up, for example, you can decline carers from being assigned, to make your rostering easier! You can manage this directly from your Agency Hub.

Admins will have access to all Client data by default. Revoking admin status removes access to all Clients for security reasons. Viewing permissions can be manually reassigned for those who are not using an integration. If using a third-party rostering integration your viewing permissions will be granted once visits to that Client have been assigned.

What if my agency uses rostering integration?

If you use a rostering integration provider such as Careplanner, Staffplan, Carefree etc, you will not need to allocate a Carer to the Client on the Birdie agency hub.

This is because this information is pulled directly from the allocation that has been assigned on your rostering. 


What are the different roles on Birdie?

There are different role options that can be selected, it is important that you review these regularly so that Carers are seeing information for the relevant Client.

The roles:

  • The Viewer role links the Carer to the Client, meaning that they have will access to their care plan and care logs.

  • The Declined role blocks the Carer's access to the Client. Declined carers will be excluded from the allocations menu, and will not be considered for visits for this client.

  • Revoke viewer access, the Carer will not have visibility of the Client's data anymore. However, if they are scheduled for a visit together again then the Carer will become a Viewer again.


How to view a Clients team

Click into the Clients tab, and search for your Client using their name. On the left-hand tab select Care team. Within this tab, you can see all of the Carers linked to the Client and their specific role.

If you would like to see the role of a specific Carer in relation to this Client you can use the search bar to type in their name, or you can view all declined Carers, or viewers using the buttons highlighted below.


How to grant, revoke or decline access

  • Select the Client

  • Click on the Care Team tab on the left-hand side

  • Select the Carer (you can bulk select)

  • Click the three dots on the right-hand side

  • Select Grant viewer access, Revoke viewer access or Decline carer on the drop-down menu

  • Click Apply changes when you are done

  • A tag will appear confirming the role

You can do this process in the same way, through the Carers profile. Click into the Team tab and find your specific Carer. Using the Clients list on the left-hand side, you can select the necessary Clients.


How to bulk select Carers

You can bulk-select Carers by clicking the box to the left of Carer and clicking the Edit roles button on the right-hand side.

Click the appropriate view and exclude status, and Apply changes. This role will be applied to everyone you have selected.
