We understand that you may need to pay carers for a specific amount of mileage completed on a journey. Birdie has now made it possible to add advanced mileage rules to a pay run so that you have greater control over how much mileage you would like to pay. You can specify whether you want to remove the first X amount of miles of the carers' daily mileage as an adjustment after the Pay run has been created.

How to create Advanced Mileage rules on the pay run

To create advanced mileage rules, start by:

  • Selecting the Pay Runs tab on the left-hand side bar

  • Select View Pay Runs from the drop-down menu

From here, click into a pay run. You will see a button called Advanced mileage.

Pay run details view showing employee breakdown with "Advanced mileage" button highlighted in teal. Table displays two employees: Ellie Randles with £83.62 travel (4.18 hours) and £968.38 mileage (242.10 miles), totalling £1,052.01; Rodrigo de la Roza with £71.66 care (5.00 hours), totalling £71.66.

Click on the Advanced mileage button to open up a pop-up modal. Here you will be able to identify the maximum miles to deduct per day, e.g. 10 miles for example.

"Advanced mileage" modal dialogue box explaining mileage deductions. Text states "When clicking OK, a deduction will be recorded for each carer such that the first 10 miles they've travelled each day are not paid for." Features input field set to "10" for "Maximum miles to deduct per day" with Cancel and OK buttons.

Once done, click OK to make your adjustments. This will now show as a mileage adjustment on the carer's paysheet with the amount that has been deducted.

You will see the total mileage they have clocked up, but also the amount that is removed as a result of the rule being applied.
