How to Manage Time-off on The Birdie App [beta]

Stay on top of your absences in the Birdie app

You can now view your upcoming and past absences in the Birdie app. This real-time visibility will reduce the need for frequent office inquiries and eliminate the time-consuming process of using emails and calls to confirm your absences.

This feature will help your team maintain a balanced workload while ensuring carers have visibility of booked holidays and past absences.

How to view past and upcoming time off

Step by step- viewing your upcoming absences on the app.

  1. Log into your Birdie app

  2. Click the Person icon in the left-hand corner

  3. Scroll down to View time off

From here you will be able to see:

  • Your upcoming absences

  • Your past absences

  • Cancelled absences

  • The type of absence (sick, annual, appointment, TOIL etc)

When you click into the absence you will be able to see the leave type and the period. If you need to make any adjustments to your absence please contact your office team directly.

Please note: you will not be able to see your holiday allowance in the app, please contact your manager or office team directly for this information.


How to book time off via the app

Please note: The following feature is available as part of Birdie’s Advanced and Plus packages. Please get in touch if interested in more information on this feature!

To book time off in the Birdie app, follow these steps:

  • Click the Person icon in the left-hand corner

  • Scroll down to View time off

  • Click the Request time off button

  • Fill out the required details:

    • Select the absence start date and end date (mandatory)

    • Write an absence description (optional)

  • Submit the time off request by pressing the Request time off button

Please note: You can abandon the booking form by pressing the Back button

Time off booked will be defaulted as Annual leave, to change the type of holiday or to make any adjustments to your absence please contact your manager or office team directly.

FAQ's (Advanced and Plus packages)

How will I know if my time off has been approved?

You will receive a push notification if there is any change to your absence. Changes can include approval, denial, creation, cancellation, reinstatement, or date change. You will also see the absence booking move from the Pending section to Upcoming or Declined.

Can I book a half day?

No, it is not possible to book half days directly from the app. However, when you submit your request you can indicate this in a note and the duration can be adjusted in the Agency Hub by a manager.

Who can see the absence description when requesting time off in the Birdie App?

This note is visible to you and your agency admin team. This ensures everyone is on the same page regarding your absence.

Can I request time off for a past date in the Birdie App?

No, it is not possible to request an absence that starts in the past. To report an absence for a past date, you should directly communicate with your manager or office team.

Can I request an absence that overlaps with another absence in the Birdie App?

No, it is not possible to request an absence that overlaps with another absence. The system is designed to avoid conflicting schedules and ensure proper tracking of each absence.

Can I request an absence that is longer than a year in the Birdie App?

It is not possible to request an absence that is longer than a year. This is to ensure that long-term absences are properly discussed and arranged with the office. If you need to take a leave longer than a year, please contact your manager or office team directly.
