How to Set the Holiday Year for Your Agency [beta]

Define the holiday year for your agency

If you are using Birdie's absence management feature you can set the holiday year for your agency or branch. This allows you to define when the holiday year starts and ends. You have multiple options on how to set this to align with your agency's or branch's policies and ways of working.

Birdie tip! We advise that one person sets the holiday year for your agency or branch, this action cannot be undone.

How to set the Holiday year

On the Agency hub go to the Team Tab, now select Agency holiday year settings.

From here, select the holiday year, this can be:

  • Calendar month- Used if you align your holidays with the fiscal year for example.

  • Employee start date- Used if you need to spread your team's holidays throughout the year.

  • Employee birthday month- Used if you need to spread your team's holidays throughout the year.

🚨Please note: Once you have set the holiday year for your agency you cannot undo this action. This is to prevent your team from losing their time off. If you need to change this please contact the support team via chat or [email protected].

Once you have selected the holiday year, you will need to confirm your selection by ticking the check box which confirms that you understand you cannot change this once set.

Once done click Save holiday year settings.


Setting the date for employee birthday or start date

If you set the holiday year by birthday month or employee start date you may get a pop-up alerting you that some of the Carers are missing this information on their profile.

You will also be alerted on the Carers individual Time off tab if they do not have their Birthday month/start date on their profile.

To fix this issue, click on the Carer's name to add a birthday or start date. For more info on how to do this please see these articles

FAQ's

  • Do I have to set the holiday year per branch?

    Yes, the holiday year must be set for each branch, this allows you to have flexibility between branches which may set the holiday year up differently.

  • Why can't I change the holiday year once set?

    You cannot change the holiday year once set as you may run the risk of losing upcoming and approved absences for your team. If you have made a mistake please reach out to our support team.

  • Who can set the holiday year? 

    At the moment any admin can set the holiday year, this is why you need to ensure that the correct person in your agency sets it. We will be working on further permission controls in the future.
