In today's care sector, agencies face a common challenge, maintaining a competent, compliant workforce while managing staff turnover and training requirements. The solution isn't about working harder – it's about working smarter with data that truly drives improvement.

That's why Birdie has developed the People and Performance Dashboard. Working closely with care agencies, we've created an intuitive view that focuses on the metrics that matter most. From interaction types to Carer compliance, everything your team needs is now in one accessible place.

Interaction Types at a glance

There's more to a weekly rota than visits alone. From Carer introductions to shadowing and supervisions, it's important to block and record all this time and ensure these different interactions are paid correctly. That's why you can easily distinguish between different types of interactions above and beyond care delivery.

This will also make it easier for Carers to prepare for each unique interaction type and easier for Finance Teams to evidence activities that may have different billing structures.

Interaction types relate to the type of interaction a Carer has with a Client during the visit. Within Birdie, you will now be able to distinguish between the following:

  • Shadowing where another individual is shadowing a care delivery visit

  • Introductions where a Carer is introduced to a Client

  • Supervisions - where another individual is supervising a Carer


Training and Compliance

The training matrix shows each Carer and the training skills that have been inputted on the Agency Hub for them. This will help you to keep up to date with training which is due to expire and plan effectively.

You can record a wide range of skills and certifications in the Skills tab for each Carer - The full list of available skills can be seen in the article - What skills are available in Birdie?

Absence Management

Examine past and upcoming absences over the next 30 days to ensure adequate staffing levels and continuity of care for Clients. Understanding past absences helps identify trends, such as frequent sickness or unplanned leave, which may indicate issues like burnout or job dissatisfaction.

Analysing future absences allows for proactive workforce planning, ensuring replacements or contingency plans are in place to prevent service disruptions. This data also helps to improve staff support and addressing the underlying causes of absenteeism.


Carer Compliance

Track Carer compliance in one place, stay up to date with document expiries and plan for Carer touch points to support staff development.

Spot checks ensure that carers are delivering services in line with company policies and regulatory requirements. By staying on top of these compliance activities, you can mitigate risks, enhance client safety, and foster a well-supported and competent workforce.

Here you will be able to quickly see the number of actions overdue and/or due in the next 30 days, as well as completed:

  • Supervisions

  • Spot checks

  • Appraisals

  • Right to work


Contracted hours utilisation & Carer's preferred working hours

Ensure you are utilising your Carers by tracking their contracted hours. This will help you see if you are scheduling your Carers enough hours and maximising your scheduling abilities.

You will be able to get a quick overview of:Β 

  • Carer contract type

  • Contracted hour quantity

  • Contract hours period

  • Total scheduled duration

To make the most of this data, you can record your team's preferred working hour ranges on the Agency hub. You can do this via the Onboarding tab for each Carer.

Team Analysis

Analyse your team data in one place to assess workforce stability, recruitment effectiveness, and service capacity. Review leaver reasons to asses high turnover rates which can indicate issues such as job dissatisfaction or inadequate training, which may impact the quality of care provided.

Tracking the total number of:Β 

  • Active Carers & Admin

  • Admin & Carers starting

  • Admin& Carers leaving

This data also supports workforce planning, enabling you to anticipate shortages, adjust recruitment strategies, and improve staff retention.


How to download the full rows


When viewing or downloading a report on Looker, it defaults to showing 500 rows, even if more rows of data are available.

You can change this by going to the data dropdown and adding in a custom number, e.g. 10000, then clicking run. This will update and show over 500 rows of data.

When you download the report from Looker, you can select All Results or a custom number of rows, e.g. 10000, so that it downloads all the data for you.
