How to add a carer onto Staffplan and sync them to Birdie

Help on how to set up a carer using your Staffplan rostering and ensuring they sync to Birdie

If you use Staffplan as your rostering provider you will need to add your carer's details on there first so that they can sync to Birdie. The below instructions will show you how to do this and how to fix any issues you may be experiencing with a carer not syncing to Birdie.

On the Personal Tab, you will need to enter a number into the Telephone field- this is required, do not add the phone number into Alt Phone, this will not sync to Birdie. Other mandatory fields are forename and surname.

On the Monitoring Tab, the exclude tick box highlighted below must not be ticked, if this is ticked then the information will not send to Birdie. The Exclude tick box can be configured upon the creation of carers/clients. This is done in Configure > Database > Carers/Clients.

On the Employment tab Tab, the start date must be set to today's date or in the past. If the start date is set to a future date then the carer will not sync until that date. The current status will be indicated in the top right.

Not started or finished profiles will not send to birdie. Team, highlighted below must also be one of the enabled teams on Staffplan Exchange (can be all teams or individually selected), if you select a team that is not on Birdie the profile will not sync.

If new booking types are added in Staffplan and intended to send to Birdie, this needs to be added in Staffplan Exchange (Services Setup > TC Import/Export Configuration). If no booking types are specified, Staffplan will send where applicable.

Codes are taken by locating the booking type in Lists > Lookup Maintenance > Tariffs > Booking Types and right-clicking the ‘find record’ button.

If set to choose per carer you will be greeted with this message when first making their profile, and if you intend for them to send to Birdie you should select yes

If you do not have access to Staffplan Exchange you need to contact an administrator or someone in your agency who has a login to change the settings for you. Alternatively, you can contact Staffplan to create a log in.
