Reasonable adjustments in Birdie

Learn how to use reasonable adjustments

Written by Charlotte

Reasonable adjustments are a duty under the Equality Act 2010, and you can be asked to evidence them at a CQC inspection. Birdie gives you a dedicated space to record them for each client, separate from the care plan, so you have a single, structured record to point to.

Where to find it and how to use it

  1. In the Agency Hub, go to Clients and select the client.

  2. In the left-hand menu, under Client profile, select Reasonable adjustments.

On this screen, you can create reasonable adjustment flags by clicking the button.

Use the easy to use form to complete the reasonable adjustment for your client. You can record the specific impairment or if the client doesn’t want to share this, there is an option for this too.

Search for specific adjustments in the search bar.

What you can record

You can record several pieces of information, and you don't need to do them all in one sitting.

You can record:

  • that the client qualifies for reasonable adjustments,

  • the impairments behind that, chosen from NHS England's published code lists, or "client would prefer not to say" if that's their choice (this option is exclusive of the others),

  • the specific adjustments the client needs, chosen from NHS-coded options, with a free text field for bespoke adjustments where the standard list doesn't fit

Starting a record before you have the full picture

You don't need every field filled in to create a client's reasonable adjustments record. Knowing that someone qualifies is often clear well before every adjustment is confirmed, so save what you know now and add the rest later.

Keeping it up to date

Edit a client's impairments and adjustments on their Reasonable adjustments page as their needs change.

  • To remove or edit a single adjustment, easily delete or update just that item and leave the rest of the record as it is, by using the […] menu.

  • To delete the whole record, remove it entirely if reasonable adjustments no longer apply to that client.

Good to know

  • The Reasonable adjustments page is in Agency Hub only.

  • Recording a reasonable adjustment doesn't replace a client's care plan. It's for the smaller set of needs that everyone working with that client should know about, and that you may need to evidence separately.

Frequently asked questions

Do I need to record everything from a client's care plan on the Reasonable adjustments page too?
No. The care plan carries on describing care the way it always has. The Reasonable adjustments page is for the adjustments important enough that everyone working with that client needs to know, similar to how many partners already use a highlights field. We know recording it separately takes a little extra time, so we're looking at ways to make it quicker to capture in future.

Where do the impairment and adjustment codes come from?
NHS England's own published code lists, so the same need is described the same way across your organisation and your records stay consistent over time.

Can carers see a client's reasonable adjustments in the Carer App?
Not yet. Recording reasonable adjustments is currently an Agency Hub feature for office-based teams, but we will be introducing this and other functionality as part of our roadmap with the NHS.
