How to Share a Care Recipient's Care Information With a Third Party

Give secure access to third parties to your care recipient's care information

Please note: The following feature is available for all of Birdie’s packages.

When needed, you can share information about your Care Recipient's care with their wider care circle. Health professionals, council staff, district nurses and emergency services can request access to the digital care logs of your Care Recipients directly on their devices.

It's a great tool to make sure that your Care Recipient's information stays safe and secure while still giving the right information at the right time to other professionals while carrying out their care duties.

How to give access to a third-party

There are two ways to share the unique code (Off-site and On-site). You decide which works best for your agency and your care recipients.

  1. Off-site: A third party can call up the agency and ask for the unique access code that you can find in your Care Recipient's profile in the Birdie Agency Hub.

2. On-site: You can decide to leave a print version of the access code in your Care Recipient's home.

When a third party is visiting, they can find it in their file. You can download the pdf on your Care recipient's profile page by clicking on Download info and selecting Basic information then click Download PDF.

Top tip: we suggest keeping the code the same, however, if the access code is used by an individual who needs one-time access only please ensure you generate a new code to restrict their access to the care notes.


Visiting the third-party online page

To access the Care Recipient's information, the third party must visit the Birdie Third-Party Online Portal.

They will need to enter mandatory details about the Care Recipient  such as:

  • Family or last name

  • DOB

  • Access code

Mandatory details about themselves:

  • Full name

  • Role

  • Email

  • Phone number

  • Reason for accessing

How to access the care information

When logged in on their device (mobile or desktop), the person requesting the access will be able to see the Care Recipient's Personal information and Care log.

They will be able to view :

  • Personal details

  • GP information

  • Medications

  • Allergies

  • Care logs

They will be able to see details for each of the care visits, when it happened, what was done, how the Care Recipient is doing and if any alerts were reported. 


How to view who accessed a Care Recipient via third-party

Once the third-party access code has been used, you will receive an alert to let you know that someone has taken a look at the care log. This will surface in the Inbox tab of the Birdie Agency Hub giving you greater visibility and control over this feature.

You can also view the Access log for a Care Recipient's share access log which will show you the history of everyone that has logged on and used the third-party portal.

From here you can decide if you need to generate a new access code, depending on who has viewed the care log.

If you are finding that you are receiving a lot of alerts you may want to consider the below options for sharing access to a Care Recipient's information.


How to revoke access

If you need to revoke access to the Care Recipients' third-party access, you can do this by clicking on the Generate new code button under the Revoke access section.

This will generate a new code which will be downloaded automatically in the Basic info PDF.


More options for sharing information

At Birdie we understand how important it is to be able to share information safely and securely, this is why we have a few options available to you.

Third-party access- Mainly used by health care professionals or those who need a quick overview of the Care Recipients' health, limited but important information is shared.

Care circle (family app)- Mainly used by those who have a close relationship with the Care Recipient as it allows them to see much more information. For more info, read this article- How to invite members to the Care Circle

Invite Care Recipient to view own notes- Mainly used by the Care Recipient themselves or close family members who do not have mobile phone access, it allows them to see more personal information. For more info, read this article- How to invite Care recipients to view their own digital care notes
