How to record termination details for a Care Professional in Birdie

Helpful workflows to remove availability and visits when a Care Professional is terminated in the Agency Hub.

When a Care Professional leaves your team, it’s important to understand the impact this has on visit schedules and to reduce the risk of allocating visits that take place beyond their termination date.

We’ve made the termination process seamless and simple, automatically removing a Care Professional’s availability and their visits from the Agency Hub once a termination date is saved.


How to Record a Care Professionals Termination Details in Birdie

You can record key termination details within the profile of any Care Professional.

Start by going to the Team tab, then find the specific individual or Care Professional.

Click Basic Info and then select Agency Admin at the top of the screen.

Here, you'll see the following sections:

  • Roles & Status

  • Groups

  • Communication

  • Termination

Using the Termination section, you'll be able to see or record those important termination details.

Click Edit to the right of this section. This will open up the following screen:

Here, you can then enter:

  • Date - the last working day

  • Type - if the Care Professional has Resigned or was Dismissed

  • Notes - to provide additional detail and context relating to the Termination.

When you click 'Resigned' the following options will appear, allowing you to record a more detailed reason for the Resignation.

When you click 'Dismissed' the following options will appear, allowing you to record a more granular reason for the Dismissal.

Click Submit when done.


How to use Termination Workflows

When you fill in or edit an existing Termination Date (as outlined above) for a Care Professional, Birdie will automatically remove the Care Professional's availability and any scheduled visits that take place after this date.

Once you have clicked Submit a pop-up will also confirm exactly what happens as part of the workflow before you make any changes.

Click 'Yes, proceed' if happy to move forward - or cancel to make any necessary changes.

After you have clicked 'Yes, proceed' the following will happen (which is also outlined in the pop-up:

  • All scheduled visits will be removed after the termination date, which is their last working day.

  • Care Professional’s availability/availability schedules and absences will be removed after the termination date.

  • Care Professional will appear as 'Out of hours' in the scheduling.

  • Care Professionals will automatically be made inactive after the termination date.

  • Applying the 'template' past the date will not assign visits to this Care Professional.


How to edit or remove the termination workflow

You can make changes to the Care Professional's last working day, even when using a Termination Workflow.

To make a change such as moving the date, Go back to the Agency Admin tab and click Edit next to the termination section. You can then make your necessary changes such as changing the reason or the date.

Click Submit and confirm as before. This will not reinstate past visits or availability, however, if the date is changed, any availability or visits in the newly impacted period will be removed.

If you want to remove the termination workflow follow the same steps above and first remove the date by clicking Clear on the calendar drop-down.

Now select the dash - icon under the reason.

When you return to their Agency Admin page you will see that the Termination section has been reset. 

Please note: The Care Professional's availability will not be reinstated, you will need to add their availability schedule again for them to be considered for visits.
