How to Manually Check-in & Check-out a Care Professional

Manually check Care Professionals in and out of visits to ensure visit lengths are accurately recorded.

We understand that sometimes a Care Professional may forget to check in or out of a visit or their phone dies. Now you can manually correct this through the Agency Hub - reducing the time spent contacting our Support Team and reconciling visits before payroll.

The Manual Check In and Check Out feature allows you to check a Care Professional into a visit before, during and after the scheduled visit and check a Care Professional out during and after the scheduled visit.


How to manually check in and check out a Care Professional

Manual check-in and check-out buttons are accessible through the Visit Details tab. You can access Visit Details by visiting the Roster tab and clicking on an individual visit within the schedule.

Once a visit has started, Visit Details are also viewable in the Client Feed and within the Log tab, by clicking into a visit.

Once you click on Visit Details you will now see 'Manual check in' and 'Manual check out' buttons, which give you the option to record accurate visit timings, even if the Care Professional has already checked in or out of the visit themselves.

On clicking either manual check-in or check-out, you will be asked to confirm the actual time and give a reason for this manual change.

The Visit Details tab will then update to show a clear audit trail of who has carried out the manual check-in within the Agency Hub, the actual check-in time and the reason for this.

Please note, for scheduled visits:

  • A manual check-in can only be earlier or later than an expected check-in by 2 hours

  • A manual check-out can only be earlier or later than an expected check-out by 2 hours

  • A manual check-in can NOT be recorded for a visit that was expected to start more than 72 hours ago

  • A manual check-out can NOT be recorded for a visit that was expected to end more than 72 hours ago

  • Cannot perform a manual check-in or check-out with a timestamp that is in the future


Editing a manual check-in/out

Once you have manually checked in or out a Care Professional, it isn't possible to remove this. If you have checked them in/out for the wrong time you can manually check them out/in again to record the correct time. 

You can do this by clicking the Manual check in/out button again and recording the correct time. 

This will not override the manual check-in/out but it will show both versions which is useful for audits. You can add a note to each check-in/out to make it clear which is the correct one.

This will not affect the Care Professionals app, they will be able to continue with their visits.


How to use manual check-in and check-out for a double-up visit

If more than one Care Professional is attending the visit, you will be able to choose which Care Professional you are checking in or out.

If you need to manually check-in or out multiple Care Professionals in the same visit, simply record the time and reason for the first carer, click 'Check in' or 'Check out' and repeat the process.

Please note: The manual check-in button will only be available within 72 hours of the visit’s planned start and the check-out button within 72 hours of the visit’s planned end time.

We recommend making corrections to the check-in and out times at the earliest opportunity to ensure accuracy but if you do need to manually check a Care Professional in or out outside of this 72-hour window you can contact the Support Team.


How to use manual check-in and check-out for an unscheduled visit

You can also use this feature for unscheduled visits, if a Care professional has checked out of the visit:

  • A manual check-in can only be earlier or later than an existing check-in by 2 hours

  • A manual check-out can only be earlier or later than an existing check-out by 2 hours

  • A manual check-in/out can NOT be recorded for a visit that was started more than 72 hours ago

  • Cannot perform a manual check-in or check-out with a timestamp that is in the future

For unscheduled visits which are in progress or that have not been checked out by a care professional:

  • Same rules as above

  • The manual check-out time is unrestricted but needs to be after the check-in time

Please note: Checking a Care Professional in or out of a visit will not affect their app, if they are experiencing issues with the app please direct them to the support chat.
