How to use linked Actions

With linked actions, you can now assign an action to a specific visit, note or alert making it easy to get all the context you need when completing that action. This also helps to showcase the specific steps you have taken to resolve an issue.

There are three places you can link an action with a visit, note or alert:

  • Log tab

  • Inbox tab

  • Client/Carer feed

Via the Log tab

Start by going to the Log tab and click on a visit card. In the sidebar, click on Actions. Here, you will be able to review any action already linked to this visit. Or you can create a new one by selecting the Add new action button.


Via the Inbox tab

Click on an alert card within the Inbox tab, In the sidebar, click on Actions. Here, you will be able to review any action already linked to this alert. Or you can create a new one by selecting the Add new action button.


Via the Carer/Client feed

Click into any note Carer and Client feed In the sidebar, click on Actions. Here, you will be able to review any action already linked to this visit. Or you can create a new one by selecting the Add new action button.


How to create an Action

Once you have selected an alert, visit or note, click the Add new action button. From here you can add:

  • The title

  • Who it is assigned to (optional)

  • Due date

  • Tags

  • Additional details

Once you are done, click Create action at the bottom of the pop-up. It will now be linked to the alert/note/visit. When you click into the action you can view where it is linked.


How to create a Recurring Action

Please note: Recurring Actions are available as part of Birdie’s Core, Advanced Care Management, Advanced, Premium and Plus packages. Please get in touch if interested in more information on this feature!

We understand that there may be key tasks that happen on a recurring or regular basis and you need to maintain accountability for the completion of those actions, every time they need to occur. This is why you can now create a recurring action.

Create the Action as shown above. You will see you have the option to 'Save regularly used titles' when adding a title. This means that it will appear in a drop-down list when you next create an Action. 

To make this Action recurring, select the interval in the Repeats section. This can be every 3, 6 or 12 months.

You can also select a flexible or fixed due date for this action these mean:

  • Flexible- When the action is marked as done the next action will be generated for the months you have selected e,g 6 months later after the task has been marked

  • Fixed - The action will be due on a specific date

When you are done click Save.

Please note: If you create a recurring action that takes place on a fixed due date of the 31st (e.g. August 31st) and the following month only has 30 days, the action will reoccur on the last day of the month (September 30th).

However, the action will then continue to recur on the 30th of the next month even if there are 31 days (e.g. October 30th). You can edit or remove the action if this is a problem.


How to edit or remove a recurring Action

If the recurring action you have created needs a different interval in which it occurs or needs to be a one-off action instead of repeating, you can do this by going back to the action and clicking Edit.

From here you can change the due date, when it repeats as well as who it is assigned to. If you need to stop the action from repeating, click the X in the Repeats box. This means that the action will only occur once.

It is not possible to remove or delete an action as this is an audit trail, however, you can archive an action. To do this, click on an action and click the three dots in the right-hand corner, from here you can click archive. The action will then move to the Archive tab.

It is not possible to archive a completed action.
